ActivMed
The receipt is printed at the client's door, and the payment reaches accounting on its own
ActivMed distributes veterinary products to clinics, veterinary pharmacies and farms, and its own agents collect invoices in the field. The agents needed to see on the spot what each client owes and print the receipt on a pocket printer. Accounting needed every payment to reach WinMENTOR on the right date, with no retyping.
What we built
The situation
Payments are collected at the client's premises, while invoices and balances live in WinMENTOR, the company's accounting software, which has no web interface. Agents had to know what to collect without lists sent by accounting, and every receipt issued in the field had to reach the company's cash book.
What we built
An internal CRM with a phone-friendly screen. The agent picks the client, sees the outstanding invoices with the amount left to pay read straight from WinMENTOR, enters the amount collected and prints the receipt on a portable thermal printer, with series and number set automatically. A PDF copy is kept too.
In the same place: client balances with invoice ageing, contracts generated from a template, quotes and supplier orders as PDF, products and partners read from WinMENTOR, and collection reports for any period. Admins see everything, agents only their own receipts.
The link to WinMENTOR goes through a Windows server and the official import component. Overnight, the day's payments enter the cash book as one document per day, on the receipt date. When WinMENTOR rejects one, the reason shows up in the app. In 2026 we found why payments were being rejected, cleared the queue of stuck receipts and ran a security audit of the app.
What changed
- The receipt is issued and printed at the client's door.
- Agents see what to collect straight from WinMENTOR.
- Payments enter the cash book on their own, one document per day, on the receipt date.
- A rejected payment no longer goes unnoticed: the reason is in the app.
